How do I import members from an Excel file?

Bulk-import existing members from a spreadsheet in under 5 minutes. We handle the column mapping for you.

If you're switching to Kasratbook from a spreadsheet or another tool, you can bulk-import your existing members in one go. The whole process takes about 5 minutes.

What you'll need

  • Your existing member list as an Excel (.xlsx) or CSV file
  • At minimum: name, phone, and join date for each member
  • Optionally: email, current plan, expiry date, biometric ID, photo URL

Step-by-step

  1. Open your Kasratbook dashboard and go to Members → Import
  2. Click "Choose file" and select your spreadsheet
  3. Map your columns to Kasratbook fields. We auto-detect most common column names
  4. Preview the first 10 rows to confirm everything looks right
  5. Click "Start import". You can close the page — we'll email you when it's done

If your file has more than 5,000 members, the import runs in the background and may take 5-10 minutes. We'll email you when it's complete.

Common issues

If your file has dates in a non-standard format, you'll see a warning during the preview. Click "Fix" next to the column and we'll suggest the correct format. You can also re-export from Excel using the format YYYY-MM-DD which always works.

Phone numbers should include the country code (e.g., +91). If yours don't, the importer will add +91 automatically — but you can change the default country in Settings → Workspace.
