The challenge
Iron Club had grown to 1,200 members by 2024 but was still tracking everything in Excel and a WhatsApp group.
Each month, 12-15% of members would lapse on their renewal — sometimes because they forgot, sometimes because they couldn't reach the owner to pay, and sometimes because no one followed up.
Rohan was spending two evenings a week on collections calls, and his front-desk staff had no visibility into which members were due.
What they did
- Migrated 1,200 members from Excel to Kasratbook in a single weekend.
- Set up UPI autopay mandates so 73% of members opted into recurring payments at the next renewal.
- Configured a 5-step WhatsApp reminder sequence: 10 days, 3 days, day-of, day-3-after, day-7-after.
- Trained the front-desk staff to use the daily collections dashboard — every morning starts with a list of members due that day.
The outcome
- Recovered ₹2.1 lakh in missed renewals in the first calendar month, mostly from members who'd lapsed in the previous 2 months.
- Renewal rate climbed from 78% to 92% over six months.
- Rohan's personal collections time dropped from ~12 hours a week to roughly an hour.
- Membership has grown 22% YoY because retention is no longer the bottleneck.
